Making a group from individual E-mails:

  • In Outlook Express
  • Create a new folder under "Local Folders" (file - new - folder)
  • Name it whatever makes sense to you say "E-list members"
  • Place all received E-mails from applicants to this group in that new folder
    (there are several ways of doing that - Right Click and choose move - or drag, hover on "Inbox" folder button till a directory opens then drop in the new folder. Help has more detail.)
  • With all the target messages in the new folder, right click on each in turn and select "Add to address book"
  • Open Address Book (from Outlook Express)
  • Choose New, Group, name it say E-list
  • Select members to add from Address Book (general) to the new group
  • Continue to add members at any time (keep the group size below approx. 200 members - make additional groups if needed)
  •  If you have already sent a reply E-mail to any of these people (say from a thank you note) they will probably already be in your Address Book.

Managing Addresses and Bulk Mailings 

Sending to a group:  

  • Always use Bcc (Bind Carbon Copy) to prevent sending all your contacts each other's details.
  • Choose "New Message"
  • Address it to yourself (your own E-mail address)
  • Click the little Address Book symbol next to To: or Cc:
  • In the left pane, Pick the group you wish to mail to
  • Add it to the right pane (recipients) in the Bcc box. (Very Important!)
  • Don't add all groups to one email... keep the recipients below approx. 200 addressees per mailing.
  • Type your subject
  • Type or copy/paste your message content - include images and logos if your wish
  • Send.
